How to Create a Custom Lease Template with Custom Mapping

If your properties are located outside of Quebec, Ontario, Manitoba, and British Columbia, you can use custom mapping to prepopulate fields in your lease templates. This streamlines lease creation by reducing manual entry.

Step 1: Create Lease Template

Follow this guide to create a standard document template:

Tip: When adding fillable fields, make sure to assign labels to each field. This will make the mapping step easier later. To assign a label, right click on the Field, click ‘Field Identifier’, and add a custom, identifiable label here.

Step 2: Add the Custom Template & Map Signers

Once your template is created, you’ll need to add it to the appropriate settings:

  • Global Settings: Use this if you want the template to apply to all properties in the applicable provinces.

  • Building Settings: Use this if the template varies by building.

Adding the Template to Global or Building Settings

  1. Navigate to: Account Settings > Settings > Global Settings
    (or select the property for Building Settings)

2. Go to the Lease Documents tab.

3. Scroll down to Custom Lease Template Options.

4. Enable the Custom Leases for Unsupported Provinces toggle.

5. Click + Add Template

6.Select the template you created and click ok to save changes.

Step 3: Mapping Signers

It will be required to map the 6 possible signers:

  • 4 tenants

  • 2 landlord signers

Note: The system will only display the required number of signers during lease signing. For example, if only one tenant is signing, only one tenant signer field will be available in the lease.

Step 4: Map Fields

  1. After mapping the signers, click "Edit Map Field."

2. Choose how you want the fields to be filled:

  • Manually (if you prefer to enter information yourself)

  • Mapped to a predefined list (recommended)

3. Use the labels you created during template setup to easily identify fields.

4. Select the correct field from the predefined list provided by Building Stack.

5. Click Save to confirm changes.

Step 5: Configuring Leases for Signing

Once your custom lease template is set up, you can create leases using it. The fields that have been mapped will be automatically prepopulated, reducing manual input.
